Features · Front desk

A front desk that never loses a patient, a slot or a payment.

Booked patients, walk-ins and late arrivals share one queue. The fee is taken before the patient goes in, the receipt is numbered, and the drawer is counted at the end of the shift. Everything a receptionist does in a day is on one screen.

What matters most

Book, bill and seat every patient from one screen.

Booking by doctor and time

Each doctor has their own hours, slot length, time off and holidays, and the desk sees only the times that are really free.

Walk-ins and a token queue

A walk-in is squeezed in with a reason, gets the next token for that doctor, and waits in one queue with booked patients.

Paid before seen

A patient cannot be checked in until the visit is paid and any transfer is confirmed, so no visit is ever chased for money afterwards.

Live patient flow board

Each visit moves through arrived, paid, vitals done, with the doctor and finished, with how long every patient has waited, updating by itself.

The full list

Everything else PixelCare does here.

  • Booking requests

Requests from patients wait for the desk to approve or decline, or are confirmed at once, as each doctor's schedule decides.

  • Move or cancel a visit

A visit moves to another time or is cancelled with a typed reason, and the change is recorded.

  • Consultation billing

Take the fee in cash or by bank transfer; transfers are confirmed or rejected against the bank before the patient goes in.

  • Numbered receipts

Every payment prints a numbered receipt, and a reprint is marked as a duplicate and logged.

  • Cash drawer shifts

The receptionist opens a shift with a float, sees their own total and closes it with a count; any difference is posted.

  • Discounts and waivers with limits

Reduce or waive a fee with a reason, up to the limit the clinic sets for the desk.

  • Visit types with their own fee

First visit, follow-up, emergency or procedure, each with its own fee per doctor.

  • Undo a mistake

A wrong check-in or no-show is undone at the desk, and every visit keeps a history of who changed what.

  • No-show fee and refunds

A missed paid visit keeps a no-show fee if the clinic charges one; the rest is refunded.

  • Printed day list and token slip

Print a doctor's list for the day and a slip for the patient with token, doctor, date and fee.

  • Patient registration

One record per person with a record number, parent or spouse name, age when the birth date is unknown, guardian, emergency contact and blood group.

  • Bring your patient list

Load existing patients from a spreadsheet, with a preview and a line-by-line list of problems before anything is saved.

  • Week and all-doctors calendar

A week grid, all doctors side by side, a search for any appointment, filters by status, and a privacy mode that hides names.

  • Waiting-room screen

The doctor calls the next token with one button and a screen in the waiting area shows who is being seen.

  • Move a visit to another doctor

When a doctor is away, a booked or paid visit moves to another doctor without a refund and a new booking.

  • Schedule changes

An extra session for one date, a week of leave at once, a doctor running late, and every affected visit moved or cancelled together.

  • Follow-up rule

A return visit within the days the clinic sets is charged a reduced or zero fee automatically, and the next visit is booked in one step.

  • Procedures on one bill

Injections, dressings, tests and observation hours are lines on the visit, paid once with the medicines, and still split correctly between clinic, doctor and pharmacy.

  • Part and split payments

Part cash and part transfer, or part now and the rest later, with a balance per patient, deposits and a credit limit.

  • Every way to pay

Cash, bank transfer, mobile wallets, QR payments and card machines, each to its own account with a reference and settlement matching.

  • Refunds and credit after the visit

Refund or credit a visit in full or part after check-in, with approval, and the doctor's share reversed correctly.

  • Reason for the visit

The desk records why the patient came, and the doctor sees it on their list.

  • Patient card

A printed card with the record number as a barcode or QR, so the desk finds a patient by scanning.

  • Duplicate warning and merge

Likely duplicates are flagged as you type, and two records merge without losing a visit or a bill.

  • A patient list that scales

Paging, sorting and filters, with booking, payment and full billing history from the record.

  • Families on one phone number

One number opens a household with relationships and guardians, and one sign-in books for a child or parent.

  • Waiting list and session caps

A cap on patients per session, a list of people wanting an earlier time, and a finder for the first free slot.

  • Recurring appointments

Book a course of visits in one go and see what is left of it.

  • No-show policy

A no-show count on each patient, and advance payment required from repeat no-shows.

  • Rooms and equipment

Sessions and appointments claim a room or machine, so two bookings never clash.

  • Group appointments

Several patients in one slot, for a class or a vaccination camp.

  • Fingerprint lookup

A fingerprint finds a returning patient.

  • How patients found you

Record the referring doctor or source and report patients and income by it.

  • Packages and memberships

Sell a bundle of sessions once and count them down as they are used.

  • Day-end closing

One page per day of collections by desk, method, cashier and doctor, and a closed day cannot be posted into.

  • Blind cash count

The cashier counts by denomination without seeing the expected figure, and a handover slip prints.

See it from every seat.
