Online booking for patients

Back to the guide

Patients can book their own visits on the clinic’s booking page. The page carries the clinic’s name, logo and colours. This page explains what a patient does, so staff can help anyone who asks.

The admin can switch online booking on or off in Clinic settings.

Signing up

  1. Open the clinic’s booking page. Staff can give the patient the address: it is the clinic’s address followed by /portal.
  2. The page lists the doctors and the fee for a visit.
  3. A new patient enters their name, mobile number and a password.
  4. A patient who has booked before chooses I have an account and signs in with their mobile number and password.

A patient who signs up online is given a record number. They should quote it at reception when they arrive.

Booking a visit

  1. Press See times beside a doctor.
  2. Pick a day. Only days with a free time are shown.
  3. Pick a time.
  4. Add a reason for the visit if they wish.
  5. Press the button to book.

What happens next depends on the doctor’s schedule:

  • If the doctor accepts online bookings automatically, the visit is confirmed at once.
  • If not, it is a request. Reception approves or declines it from the Booking desk, and the patient sees the answer on the page.

The patient pays at reception before being seen. Nothing is paid online.

A patient can hold up to three upcoming bookings made online.

Seeing and cancelling bookings

Your appointments on the page shows what the patient has booked and whether it is confirmed.

A patient can cancel a visit there while nothing has been paid for it. Once a visit is paid, they ring the clinic.

If a patient forgets their password

Reception sets a new one. See “A patient forgot their online booking password” in The front desk.

What staff should know

  • A patient who signs up online always gets a new record. If the same person was already registered at reception, the clinic will have two records for them. Ask patients who are already registered to give reception their mobile number instead of signing up again.
  • A patient’s sign-in is locked for a while after several wrong passwords, the same as a staff sign-in.
  • The patient sees only their own bookings. They do not see notes, prescriptions or results on this page.

For technical users. The portal lives at /portal and uses its own sessions, separate from staff sessions and never readable by staff roles. A patient session lasts 30 days. Sign-up uses a mobile number and a password; the number is not verified by text message. The portal reads doctors and free times through the same slot engine as the booking desk (packages/domain/src/slots.ts).
