Settings
This page is for the admin. Settings are things you set up once and change rarely.
Clinic settings
Open Clinic settings from the menu. It has four groups. Click a heading to open that group.
Name, logo and colours
This is the clinic’s own look. It appears on every screen, the sign-in page, the patient booking page and receipts.
- Type the name to show.
- Choose a logo file: a PNG, JPEG or WebP picture.
- Pick the main colour and the accent colour.
- Type the top of the receipt (usually the name, address and phone, one on each line) and the bottom of the receipt.
- Save.
The change shows on every screen as soon as you save. Nobody needs to install anything.
Clinic, tax and payment
- Registered name of the clinic.
- Patients can sign up and book online: untick to switch online booking off.
- Prices already include sales tax: tick if your shelf prices include tax.
- Sales tax: the tax rates used on pharmacy sales and on consultations. A changed rate applies to new sales only.
- Fee when a doctor has none of their own: the consultation fee used for a doctor with no fee set.
- Payment methods: what reception may accept. Remember that a bank transfer counts only after reception confirms the money arrived.
- Most the desk may discount: the largest discount a receptionist or pharmacist can give by themselves.
- Receipt paper: the width of your receipt printer’s roll, or a full page.
- Numbering: receipts, records and orders are numbered in order. To carry on from a paper register, set the next number and, if you wish, your own prefix.
Visit types and fees
A visit type is a kind of appointment, such as a first visit, a follow-up or a procedure.
- Press Add to create one, or Edit on one that exists.
- Give it a name, a length in minutes and a fee.
- Set a fee for a particular doctor where one doctor charges differently.
- Untick Offered at reception to stop a visit type being booked.
A fee change applies to visits booked from now on. Visits already booked keep their fee.
People who can sign in
- Press Add a person.
- Type their full name and the email they will sign in with.
- Choose their role: system admin, doctor, receptionist, nurse or pharmacist. A nurse can only take vitals.
- Type a first password and tell them what it is. They should change it when they first sign in.
- For a doctor, add the specialty, qualifications and registration number. These are shown to patients who book online and printed on prescriptions.
To change someone, press Edit on their row. From there you can:
- Change their name, phone, role or doctor’s details.
- Set a new password for someone who has forgotten theirs.
- Switch them off when they leave. They can no longer sign in, and everything they did stays on record.
Clinic hours and holidays
Open Clinic hours from the menu.
- Opening hours: set when the clinic opens and closes on each day. Add a second band for a break in the middle of the day. Press Save hours.
- Holidays: pick a date and press Close that day. Nobody can be booked on a closed day.
Doctors and schedules
Open Doctors and schedules from the menu. For each doctor:
- Fee and share: the consultation fee and the part of it the doctor keeps. See Money and reports.
- Weekly sessions: the days and hours the doctor sees patients, and how long each slot is. Press Add sessions. Bookings are possible only inside these sessions.
- Auto-confirm online: tick to accept online bookings for this doctor without reception approving each one.
- Time off: press Add time off for days or hours the doctor is away.
A doctor can change their own sessions and time off. Only the admin changes the fee and share.
Clinical lists
Open Clinical lists from the menu.
Tests and normal ranges
This is the list of tests a doctor can order. It starts with common laboratory tests and imaging.
- To add a test, type its name in the first row, choose lab or imaging, and press Add.
- To have results flagged, give a test its unit and its normal range, from and to. A result typed in outside that range is marked for the doctor.
- Leave the range empty for a test that is read as words, such as an X-ray.
- Untick In use to stop a test being ordered. Old orders keep it.
Use the normal ranges printed by the lab your clinic sends patients to. The list starts with no ranges because each lab’s differ.
Medicines not to give together
Pairs of generic names the clinic does not want prescribed together. The pharmacist and the admin keep this list. See The pharmacy.
Register of letters
Every referral letter, sick note and certificate issued in the last 90 days, with its number, the patient and the doctor.
Setting up a new clinic, in order
- Name, logo and colours, and the receipt text.
- Clinic hours and holidays.
- People who can sign in: add every member of staff.
- Doctors and schedules: each doctor’s sessions, fee and share.
- Visit types and fees.
- Tax, payment methods, discount limit, receipt paper and numbering.
- Products: import the product list, then count in the opening stock. See The pharmacy.
- Patients: import the existing patient list. See The front desk.
- Suppliers and starting balances. See Money and reports.
- Clinical lists: normal ranges for the tests you use most.
For technical users. Brand values are read from
clinic_brandingon each request; nothing is compiled into the app. The logo is resized in the browser to 256 pixels on its longest side before upload; SVG is refused because it can carry script. What a clinic may and may not re-brand is defined indocs/white-label.md. A role decides which screens load and, separately, what the database returns: seepackages/domain/src/access.tsand the policies inpackages/db/migrations.
